AnswerlyOS is a business-to-business platform. Agencies use it to serve their clients, and those clients serve the people who call them. For most call and contact data, the agency (and its client) is the controller of that data and we act as a processor on their behalf. We are the controller for account, billing, and platform usage data of the agencies who contract with us directly.

2. Information we collect

• Account information: name, email, business name, and login credentials for agency and client users.
• Client and contact records: business details, phone numbers, and contact information that an agency adds or that is captured from inbound calls and forms.
• Call data: caller phone numbers, call times and durations, transcripts, recordings, outcomes, and summaries generated by the AI receptionist.
• Usage data: log data, device and browser information, and how the console is used.
• Billing data: subscription, plan, and usage records. Card details are handled by our payment processor, not stored by us.

3. How we use information

We use information to:

• Provide, operate, secure, and improve the Service.
• Answer calls, capture leads, book appointments, and log activity for our users.
• Process subscription and usage billing.
• Provide support and send service-related communications.
• Detect, prevent, and address fraud, abuse, and security issues.

We do not sell personal information, and we do not use call recordings or transcripts to train third-party models outside what is needed to deliver the Service.

4. How we share information

• Service providers: hosting, telephony, speech and language AI, and payment processing vendors who process data on our behalf under contract.
• Agencies and their clients: data flows to the agency and client account it belongs to.
• Legal and safety: when required by law or to protect rights, safety, and the integrity of the Service.
• Business transfers: in connection with a merger, acquisition, or sale of assets.

5. Call recordings and transcripts

The Service can record and transcribe calls. Laws on call recording and notice vary by location, and some require all-party consent. The agency and its client are responsible for providing any legally required notice and obtaining consent from callers. You agree to use the Service in compliance with applicable recording, privacy, and telemarketing laws.

6. Data retention

We retain information for as long as an account is active and as needed to provide the Service, then for a reasonable period to meet legal, accounting, and security needs. Agencies can request deletion of their data, subject to our legal obligations.

7. Security

We use technical and organizational measures designed to protect information, including encryption in transit, access controls, and tenant isolation. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. Because we often act as a processor, please direct requests to the agency that controls your data, or contact us and we will route the request appropriately.

9. Cookies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand usage. You can control cookies through your browser settings, though some features may not work without them.

10. Children

The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
